How this calculator works

Almost every wedding budget calculator hands you a flat percentage split — fifteen percent on photography, ten percent on flowers. That advice quietly breaks at both ends of the market, because roughly half of a wedding does not scale with the guest list at all. A photographer who charges R25 000 is ten percent of a R250 000 wedding and twenty-five percent of a R100 000 one, and their price did not change.

So this calculator does not use percentages. Every category carries a fixed component and a per-guest component, and the percentages you see are the result rather than the assumption. Your budget is allocated in two passes: first every category is funded to its realistic minimum, then whatever remains is shared out in proportion to how much room each category has left, weighted towards the two things you said matter most.

It also tells you when the numbers do not work. Roughly two thirds of couples set a budget before researching what anything costs, and most set it too low. If your budget sits under the floor for your guest count, the calculator says so and shows you the guest count it does cover.

Benchmarks are drawn from South African wedding market reporting and our own category research, cross-checked against the R85 000 to R300 000 band most local couples land in. Venue hire and catering together account for close to half of a typical budget.

Questions couples ask

How much does a wedding cost in South Africa?
Most South African couples spend between R85 000 and R300 000. The figure moves mainly with guest count and province, because catering and venue hire together typically account for around half of the total. This calculator uses a mid-market reference of roughly R267 000 for 100 guests and a bare-minimum floor near R64 000 for the same guest count.
Why does the cost per guest fall as the guest list grows?
Because about half of a wedding does not scale with guests at all. The photographer, the dress, the rings, the marriage officer and the DJ cost the same for 60 people as for 200. Spreading those fixed costs over more guests lowers the per-head figure even though the total rises. That is also why flat percentage rules mislead small weddings.

Are these prices quotes?
No. They are indicative planning ranges for the South African market in 2026, useful for sanity-checking a budget before you approach suppliers. Always get written quotes — prices vary by province, season, and day of the week.
How can I bring the cost down?
In order of impact: cut the guest list, move off a Saturday in peak season, choose a venue that lets you bring your own alcohol, and reduce floral centrepieces. Guest count is by far the strongest lever because it drives catering, which is the largest per-head line.
